A Day in the Life of a Dental VA

Monday Edition - 12pm to 7pm

Mondays are a busy but rewarding start to my week. With my working hours running from 12:00pm to 7:00pm, I step into the day ready to bring order, calm, and structure to the practices I support. Here’s a look at what a typical Monday looks like as a Dental Virtual Assistant at Elevate Admin – The Admin Anchor.

12:00pm — Settling Into the Week

I start by reviewing each practice’s needs for the day. Mondays often bring weekend enquiries, appointment changes, and new referrals, so my priority is always patient flow and urgent updates.
This helps set the tone for a smooth, steady week.

1:00pm — Managing New & Ongoing Referrals

This includes reviewing all referrals, contacting patients, updating dentists, checking missing information, and prioritising urgent cases.
Clear communication here matters — for both patient confidence and referring dentist reassurance.

3:00pm — Supporting Patients

Afternoons are often filled with calls and emails from patients. Whether confirming appointments or helping someone feel more at ease, this part of the day is always meaningful and rewarding.

4:00pm — Admin, Scheduling & Workflow Management

This is where efficiency shines. I update calendars, manage cancellation lists, check waitlists, reconfirm appointments, and tidy up records so practices stay organised and stress-free.

5:30pm — Reporting & Communication

I prepare referral summaries, updates for clinicians, and communication notes for referring dentists. These insights help teams stay aligned and well-informed.

6:30pm — Building Relationships with Practices

Before finishing, I check in on any pending communication with practices — from referral packs to updates. Relationship-building is a big part of specialist support.

6:45pm — Running My Own Business Behind the Scenes

Like many sole traders, I also set aside time each day to manage the engine of my own business. This includes my bookkeeping, admin, email replies, planning content, updating social media, and keeping Elevate Admin running smoothly in the background.
Wearing all these hats means I understand exactly how demanding admin can be — and it’s one of the reasons I’m so passionate about helping practices stay organised and supported.

7:00pm — End of Day Wrap-Up

I finish by organising tomorrow’s work, ensuring all communications are recorded, and double-checking that patient updates are complete and secure.
A smooth finish to Monday sets the tone for the rest of the week.
